Treforest Escape Rooms (“we”, “us”, “our”) operates this website and escape room games at Unit 29, Main Avenue, Treforest Industrial Estate, Pontypridd CF37 5UR. We are the data controller for personal information collected through this website and our booking services, unless stated otherwise below.
2. Information we collect
We may collect and process the following information:
- Contact and enquiry details. Name, email address, phone number, and message content when you use our contact form or email us.
- Newsletter sign-ups. Email address when you subscribe to offers and updates.
- Booking details. Name, contact details, team size, game selection, payment status, and promotional codes when you book online. Online bookings are processed through our booking partner Off The Couch (offthecouch.io).
- Website usage. Limited cookieless analytics by default; fuller anonymised data about pages visited and actions taken (for example clicking to book) via Google Analytics (GA4) if you accept analytics cookies.
- Cookie preferences. Whether you accepted or rejected optional analytics cookies.
We do not intentionally collect special category data (such as health information) through this website. If you contact us about VR comfort, accessibility, or medical concerns before booking, we will only use that information to advise you and arrange your visit.
3. How we use your information
We use personal information to:
- manage and confirm bookings, process payments, and communicate about your visit;
- respond to enquiries and provide customer support;
- send marketing emails where you have opted in (or where you separately ask to join our list);
- improve our website and understand how visitors use it (analytics cookies only with your consent);

If you sign up for our newsletter via the website form, your details are sent to us through our server. We add you to our marketing list when we process that request (or when you email us separately to ask to join). 6. Booking and payment processing
When you book online, payment and booking data are handled by Off The Couch, our secure booking and payment provider. Their systems process card payments; we do not store full card numbers on our website. Off The Couch acts as a processor on our behalf for booking-related data. Booking confirmation is sent by email once payment is successful.
7. Data sharing
We do not sell personal data. We may share information with trusted service providers only where necessary, including:
- Off The Couch. Online booking and payment processing;
- Google Analytics. If you accept analytics cookies;
- Email and hosting providers. To deliver messages and operate the website.
We may also disclose information if required by law or to protect the safety of guests and staff.
8. Data security and retention
We apply reasonable technical and organisational safeguards to protect personal data. We retain information only for as long as needed for bookings, customer service, marketing (where you have opted in), and legal or accounting requirements. Typically up to six years for financial records where applicable.
9. Your rights
Under UK data protection law, you may have the right to request access, correction, deletion, restriction, or portability of your personal data, and to object to certain processing. Where we rely on consent, you may withdraw it at any time without affecting the lawfulness of processing before withdrawal.
